You can apply for your season ticket throughout the year; the cut-off date for requests is the 25th of each month. Due to provider processing times, travel card requests require a clear calendar month between receipt of your form and the effective travel start date (e.g. requests received before 25th September will be valid from 1st November). We will contact you by email (or letter if you don’t have access to a computer) to confirm when you can collect your season ticket from us.
10 monthly instalments will be deducted from your net pay, and will continue unless you cancel your season ticket or leave the University. You will have 2 months each year when no deductions are made from your pay Your season ticket will remain valid during this period. We will also notify you if your instalments will increase due to a price increase imposed by East Midlands Trains (EMT). Please note that the 10% discount you receive when you initially purchase your annual season ticket will be reduced by EMT to 5% at the time of renewal. There is no discount applied to Cross Country fares.
You must notify us by email if you wish to cancel your season ticket and we will arrange cancellation from the end of the month. You must return your cancelled season ticket to the My Benefits Team on the 1st of the month, or the next working day if the 1st falls on a weekend or Bank Holiday.
If you choose to cancel your season ticket at the end of the 12 months travel period no cancellation fee will be payable. If you cancel your card mid-year, EMT will charge a cancellation fee of £10 that will be deducted from your net pay. EMT will determine any money owed to you, or by you, from the date they receive your returned season ticket, but due to the complexities of this recalculation, we are unable to confirm balance amounts in advance.
Once we receive either a credit note or invoice from EMT, money owed by you will be deducted from your net pay, or money owed to you will be refunded to your net pay (or via BACS payment if you have already left). If it is not possible to deduct all money owed from your net pay you will receive an invoice for the outstanding amount, and refunds are only paid if the season ticket is valid for a further seven days following receipt by EMT.

You must contact EMT immediately if your card is lost or stolen on 0345 712 5678 and a replacement season ticket will be issued at a charge of £10, payable by you. If your card is lost or stolen again, EMT will not issue a further replacement and you will need to purchase a new season ticket.
